Dispensary POS system

A dispensary POS system is compliance software first and a register second. It enforces purchase limits, tracks every gram against a state tag and files the reports your license depends on. What it does not do is solve payments, and that is the harder half. This page covers the half the software companies skip.

Who actually builds a good dispensary POS system?

We will be straight with you, because the alternative wastes your time. Dedicated cannabis POS platforms exist, they are mature, and they are good at what they do. Flowhub, Dutchie, Cova and IndicaOnline are real software companies with real engineering behind their compliance features. If you need traceability filing that works on day one, buy from a company whose whole product is that.

Rooted Payments is not a cannabis POS platform and will not pretend to be one. We sell payments and counter hardware for the wider hemp, CBD and smoke shop world. On the dispensary side, our value is the payment placement that sits beside your POS, plus a straight answer about what is available to you.

  • State traceability reporting, filed the way your regulator expects it
  • Purchase limits enforced at the register, per customer, per day
  • Product and batch tracking tied to the tag on the jar
  • ID checks and visit logging on every transaction
  • Reporting your compliance officer can hand to an auditor

Those five lines are what a compliance-grade platform gives you. Ask any vendor to demo all five with your state selected. If the demo dodges the traceability piece, the product is a register with a cannabis label on the box. Read what seed-to-sale reporting means for a POS before you sit through a sales call.

A few questions separate the real platforms from the relabelled ones. Which states are they live in today, and how fast did they ship support when the last rule changed. What happens at the counter when the state system is down, since it goes down and your line does not stop. Who reconciles a mismatch between your shelf and your state record, and is that a support ticket or a screen your manager can use at closing. Ask for a demo in your state with your product types loaded, not a generic walkthrough.

Why does the POS never fix the payment problem?

Because the block is federal, not technical. Cannabis remains a federally scheduled substance, so the major card networks do not process plant-touching sales in most states, and no software integration changes that. Your POS can be flawless and your counter still runs on cash. That is the honest position, and any vendor who tells you otherwise is describing a workaround they have not named yet.

The full picture, state by state and method by method, sits on dispensary payments and cannabis payment processing. Both pages say what is available today rather than what we wish were available.

Running mostly on cash has real costs the software cannot touch either. Counting, armoured pickups, a safe, the shrink risk, and the banking relationship you have to keep explaining. Those costs are why so many workarounds get sold into this category, and why so many of them end badly. Knowing exactly what is legitimate is worth more here than a clever product demo.

What about a cashless ATM at the counter?

Treat it carefully. A cashless ATM is not card acceptance. It is a scheme that codes a purchase as an ATM withdrawal, rounds it to an even amount and passes the card networks a description of the transaction that is not what happened. Card networks have taken enforcement action against exactly that misrepresentation, and the shop is the one left holding the consequences when a program is shut off.

We explain the mechanics and the exposure on cashless ATM risks. We do not sell them, and we will not describe one as card acceptance to win a deal.

If a processor pitches you card acceptance for plant-touching sales, ask which sponsor bank and which card network approved it, in writing, for your state.

What can Rooted Payments actually do for a dispensary?

Three things, none of them oversold. We tell you plainly which payment methods are open to a licensed shop in your state today. We handle the plant-adjacent side of your business properly, which for many operators is the hemp, CBD and accessory revenue running alongside the licensed counter. And we set up the counter hardware and processing for that side, boarded with underwriting that knows the category.

If your business is hemp or CBD rather than licensed cannabis, the boarding path is genuinely open, and most owners do not know it. Start at CBD merchant accounts or hemp merchant accounts. If you run a retail counter alongside the dispensary, smoke shop POS covers that hardware. And when you want an answer specific to your license and your state, tell us how the shop is set up.
